Form 8809 is the IRS form used to request additional time to file listed information returns. It applies to W-2, W-2G, 1042-S, 1094-C, 1095, 1097, 1098, 1099, 3921, 3922, 5498, and 8027 returns (Form 8809 instructions). Most initial requests on eligible forms are automatic; Forms W-2 and 1099-NEC are the key exceptions and are handled differently.

One boundary matters from the first sentence: if an extension is granted, it changes the filing deadline for the returns you send to the IRS, not the deadline for getting copies to recipients (IRS Form 8809 overview).

Initial automatic vs. nonautomatic requests

Most initial Form 8809 requests are automatic. When granted, they generally provide 30 days from the original due date of the return. The IRS describes this automatic treatment in the form's timing discussion (Form 8809 instructions).

Forms W-2 and 1099-NEC are not eligible for automatic extensions. Their initial extension requests must be submitted on paper, and they are treated as nonautomatic. Nonautomatic requests require justification on line 7 and must be signed by the authorized filer. Online fill-in is not available for W-2, 1099-NEC, or additional extension requests, so those requests go in on paper (Form 8809 instructions).

Line 7 of Form 8809 lists qualifying reasons for a nonautomatic extension. Do not invent eligibility outside those listed reasons. The authorization and signature element belongs to the nonautomatic path; automatic extensions on eligible forms do not require that signature (Form 8809 instructions).

Additional extension requests

After a granted initial extension on eligible non-W-2/1099-NEC forms, you may request an additional 30-day extension if you file before the current extension expires. Additional extensions must be submitted on paper Form 8809. No additional 30-day extensions are allowed for Forms W-2 and 1099-NEC (Form 8809 instructions).

Plan the calendar around the original due date, the initial extension window, and the paper lead time for any second request. A second request is not a routine follow-up for every form, and it does not create extra room for W-2 or 1099-NEC.

Deadline discipline and scope limits

File initial Form 8809 requests by the original due date of the returns. Additional extension requests must be filed by the expiration of the current extension. Requests submitted after the applicable deadline are not granted (Form 8809 instructions). An extension request is a request, not a guarantee.

Form 8809 is not applicable to Form 1040, 1040-SR, or Form 1042. It also does not extend the recipient statement furnishing deadline. Firms sometimes conflate filing extensions with furnishing extensions; keep those two deadlines on separate lines of the engagement calendar.

For payer-side reporting of nonemployee compensation, see Form 1099-NEC; payer reporting is separate from the extension request. Ordinary business-return extensions run through a different mechanism, discussed in the Form 7004 guide. The broader guides hub collects related workflows.

Practical FAQs

Does Form 8809 give my client more time to send statements to recipients? No. Form 8809 does not extend the time to furnish recipient statements. It addresses the return filing deadline only.

Are W-2 and 1099-NEC extensions automatic? No. Initial extensions for those forms are nonautomatic, require line 7 justification, must be signed by the authorized filer, and must be submitted on paper. Automatic extensions do not require that signature.

Can we get a second 30-day extension for W-2 or 1099-NEC? No additional 30-day extensions are allowed for those forms. Additional extensions apply to eligible non-W-2/1099-NEC forms when an initial extension was granted and the request is filed before expiration.

What happens if we file Form 8809 after the return due date? Initial requests filed after the original due date are not granted. Additional extension requests filed after the current extension expires are not granted. File initial requests by the original due date and additional requests by the expiration of the current extension.

Can we submit an additional extension online? No. Additional extensions must be submitted on paper Form 8809, and online fill-in is not available for W-2, 1099-NEC, or additional extension requests.

Is Form 8809 used for individual income tax returns? No. It is not applicable to Form 1040, 1040-SR, or Form 1042.
